Who we are

Information we collect
When you use the room-hire enquiry form, we collect your name, phone number, therapy or service type, preferred callback time and any optional notes you provide. Basic technical information may also be processed by our website hosting and form-delivery providers when you visit the site or submit the form.
Please do not include confidential information about your clients, medical information or other unnecessary sensitive personal information in the notes box.
Why we use it
We use the information to review your room-hire enquiry, contact you, understand whether the rooms may be suitable and arrange a viewing or discuss a possible room-hire arrangement.
Our intended lawful basis is legitimate interests: responding to enquiries from practitioners who reasonably expect us to use their details for that purpose. Where discussions progress towards an agreement, processing may also be necessary to take steps at your request before entering into a contract. Calm Collective should keep its lawful-basis assessment under review as the business develops.
Who receives the information
Enquiry information is available only to people handling Calm Collective room enquiries and the service providers needed to operate the website and deliver the enquiry, including GitHub Pages and Google Apps Script/Gmail. We do not sell enquiry information or use it for unrelated marketing.
How long we keep it
Unsuccessful or inactive enquiries are normally deleted within 12 months. Information may be kept for longer where discussions continue, a room-hire relationship begins, or it is reasonably required for legal, accounting or dispute-resolution purposes.
Your rights
Depending on the circumstances, you may have rights to ask for access, correction, deletion or restriction of your personal information, and to object to certain processing. Contact us using the details above. You can also raise a concern with the Information Commissioner’s Office.
Cookies and external services
The site does not currently use advertising or analytics cookies. It uses external services to provide fonts, website hosting and enquiry delivery; those providers may receive technical information such as an IP address as part of delivering their services. If analytics, advertising or other non-essential tracking is introduced, the cookie position and consent requirements must be reviewed before it is enabled.
